Fall Newsletter 2018

Dear VFMC Members,

Summer has drawn to a close and my favorite season of the year has arrived – Fall.  I love the cooler weather and the beautiful trees and, along with that, another exciting year with the VFMC.  Please take a few moments to look over the summary of upcoming events for the 2018-2019 season and record them on your calendars.

Fall Board Meeting:  Much business was accomplished at the Fall Board Meeting that took place on August 25th.  Thanks to all who attended and made this event a success.  I have included the minutes as an additional attachment for you. You can also find them on the VFMC website. 

District Meetings:  I am looking forward to the District Meetings coming up in October and hope to have an opportunity to visit with many of you during this time.

Spring Convention:  If you haven’t done so yet, please mark your calendars now for the 98th Annual VFMC Convention.  District III is planning this event, and I am hoping for a tremendous turnout this year.  It will take place May 16-18, 2019 at the South Hill Presbyterian Church in South Hill, Virginia. Rooms will be available at the new Holiday Inn Express located a short distance from the Church.  Please refer to the website for more complete information as the time grows nearer. 

District III Invitation to the Convention

              District III invites you to the town of South Hill for the 2019 state convention,
May 16-18.  The meetings will be held at South Hill Presbyterian Church and rooms
will be available at the Holiday Inn Express.  This will be a change as we will not be
having the meetings at the hotel.  But South Hill is a small town and the church and
hotel are 1.4 miles apart.  There is little traffic and no stoplights.  The town is a
crossroads with I-85 and Route 58.

Website:  Our website continues to grow and evolve.  Website maintenance is a continuous job for any organization because information is ever changing.  Several members have now been trained by Bill Riski as content editors to enable us to manage our site and keep it up to date.  I want to give a warm welcome to Sharon Hale, a member of the Piedmont Music Club who has graciously consented to taking on the role of website editor for the VFMC.  Working alongside her is Kathryn Peters, President of the Piedmont Music Club and District II Director of the VFMC.  I feel we are very lucky to have such competent members in our organization.

Future Fall Board Meetings:  Based on the slightly more limited turnout for this past year’s fall board meeting, I am asking for your input to help me schedule upcoming fall board meetings.  Please send me a quick reply and let me know which month you prefer to hold the meeting.

If you feel so inclined, let me know the rationale for your choice.

  • August (just before school begins – as we’ve done it frequently in the past)

  • September (mid-month to late in the month)

Post-Convention Communication

Dear Fellow VFMC Members,

I enjoyed seeing so many of you last week at the VFMC Convention, and I thank all of you who were able to attend and help make this event a success.  Particular thanks goes out to all those from District I who worked so hard in preparation for this annual gathering.  The programs and concerts were great.  (I especially loved seeing and hearing the Juniors perform.)  The Sr. Club Displays were tremendous.  I appreciate the hard work that went into creating them.  I think we accomplished a lot of business during the meetings which reflects our mutual concern about the state of the VFMC.  I look ahead to the Fall Board Meeting (Saturday, August 25) and the opportunity to see all of you once more.  More information regarding this meeting will come your way as the summer progresses.

Everyone - Send me your thoughts about the website.  Please make a conscious effort to go onto the website frequently so that you will become comfortable using this tool.  The more you use it, the more you’ll want to use it.  

Keep in mind the following objectives:  CSI - Our goal:  to communicate information in a simple, easy to understand way.

Dear Club Presidents:

I look forward to hearing your reports at the Annual Convention about your club activities during the past year. It's always interesting to hear about the variety of activities the clubs are involved in. All Sr Clubs provide a wealth of opportunities for musical experiences in their community. These include performance opportunities for students, student scholarships competitions, group musical activities, member performances, guest artists concerts, master classes, and a variety of other activities, all which meet the goals of the National Federation of Music Clubs – to promote American music and musicians. I have set aside time for all of you to share your club activities with each other at the convention.

While preparing your report for the convention, in addition to talking about your club activities, I would like you to include two things: First, share the one thing that your club does that you feel comes closest in achieving your goals and one thing that your club has tried at some point with good intent but that failed to achieve the objective you had in mind. These could be anything from fundraising to educational activities to things that are just fun. The intent here is the exchange of ideas. Although some ideas won't work for every club or community, I believe we can adjust or modify good ideas to fit the needs of our clubs. I am hoping this will open a line of discussion that will help all of us in some way.

The second thing I want you to do is to take a few minutes to complete the attached form. It is simple and will provide some objective data about what your club is and what it has accomplished over the past year. I'm not looking for you to speak specifically about any of these areas in your verbal report at the convention. I plan to use the data you provide to put together my report for the National Convention in Milwaukee and show all the great things that our clubs are doing to advance music and the arts in the State of Virginia. These items are broad categories for the most part, so I ask that you fit your activities into the most appropriate areas and try to be as specific as possible in terms of numbers and cost.

Please complete the form and attach it to your report that you bring to the convention. If you are unable to attend, please send your report to me directly. I appreciate all you do in your local clubs and all you do to ensure the success of the Virginia Federation of Music Clubs in meeting the goals of the National Federation of Music Clubs.

P.S. I meant to also remind you to fill out the Senior Club Annual Summary form ME 7-1 or ME 7-2 as well. That is the end of the year summary that goes to Senior Club Reporting Chair, Nancy Turner. The above forms replaced the old ones. You can find all these forms on the NFMC site - at home page click on publications, then Membership and scroll down and then click on download pdf and the forms come up. Choose the most relevant form for your club. Please attach a copy of it to your convention report and the 2018 Senior Club Activity Form and give it to me at the convention or mail it to me. I've attached the ME 7-1 and 7-2 below for your use.

2018 VFMC Certificate Request

Dear VFMC Chairs,

I am hoping that you have communicated with the Senior Club Presidents this year - given them information about activities associated with your VFMC Chairmanship and encouraged them to submit their reports to you. If you would like to send any reminders out, I would be glad to email them for you, if you send me the email message and a request to send out to them.

Part of your responsibility as a VFMC Chair is to take in the reports the Senior Club Presidents send you, evaluate them, and award certificates for the clubs' participation in your area of chairmanship. I have attached a "Request for Certificates" form for you to complete for the awards. You may select ONE club for Award of Outstanding Merit and up to 5 clubs for Awards of Merit. These forms are due to Elin Havrilla by April 20. She will be unavailable after the 23rd of April and will not be able to attend the convention this year. Her job is to make all the certificates and she must have them completed before she leaves on the 23rd. Please submit the forms to her as soon as possible.

VFMC Convention 2018

This organization needs you to make this event successful. 

Senior Club Presidents:  Remember to bring your senior club displays.  This year we are going to vote on the displays.  They should reflect what your club does and how you do it.  We had a terrific turnout last year.  Some brought scrapbooks, some brought photos, some made board displays with photos and descriptions.  We feel this is a terrific addition to the convention and would like to continue it in the future. You might want to solicit the help of some of your club members and get them involved in the convention, too.   Your participation will help make this venture successful.  We would also like to have the senior club reports available at each display.  (The report simply describes what your club did and how you did it this past year - student and member events, recitals, programs, competitions, money making ventures - anything at all.)  This is a good way to share ideas with other clubs.  Please bring your reports, so that we can make copies to set at your display to share with other club presidents.

The National Federation of Music Clubs is a wonderful organization.  We have all chosen to become members because we realize the tremendous impact music has on people and on our American society.  We realize how important music is in helping our youth develop to their fullest potential.  We have all joined this organization to advance our own love of music - and especially to instill a deep appreciation for music in our students.  Please support this endeavor and keep the organization alive and strong by participating in the 2018 Virginia Federation of Music Clubs Convention.

President's VFMC Newsletter

Dear Fellow VFMC Members,

The Holidays are long gone and here we are in the midst of winter.  I am looking forward to spring and warmer weather, hopefully sooner than later, and am sure you are too.  I have been busy this past winter with lots of VFMC business and want to pass on some information and reminders to you:

VFMC Directory.  I have attached an updated directory for your use.  (See separate email to members.) Please print a copy of it and replace the old one in your folder.  I am hoping that you keep it close by so you have easy access to other VFMC members.  If you do not have a VFMC folder please let me know and I will see that you get one.

VFMC Website.  The site is up and running right now as of today.  The address is  I invite you to check out the new website and see what it has to offer.  You do not need a user name or password.

  • The first page is called a “splash page” from which you will click on the line entitled “Music Appreciation Starts Here”. It will take you to the “home” page.

  • Notice the reminder area as well as the contact us at the bottom where you can click to send a message.

  • From there you can click on the “hamburger” figure in the top right hand corner (It is 3 small white parallel horizontal lines from which you can imagine a hamburger.) A complete side menu will appear. (Any of the words with a + preceeding the word has subpages.

  • Try clicking on each page to see what information is there. Anything that is colored green can be clicked on and will take you somewhere else. These “green” words include the following:

    • If you click on an organization it will bring you to its website.

    • If you click on a club name it will take you to its website. (Some clubs don’t have websites yet so its letters are black.)

    • If you click on a name it will bring up a blank email for you to write an email to the person whose name you clicked on.

    • If you click on the dates on the Events page it will take you to that event’s sub page for more information.

    • If you click on the name of a VFMC Competition or Award it will take you to its sub page where you can find more information, forms, and instruction sheets.

    • If you click on green form numbers they will bring up the appropriate form or instruction sheet.

  • Please take the time to familiarize yourself with the website. Don’t be afraid to click on things and see what they do. You can always use the back arrow to get out of it or the “hamburger” to go to a new page.

  • I am looking for suggestions, if we’ve forgotten anything, or gotten any information wrong.

  • Those of you who have information you want to go up on the website should contact me for now.

2018 Convention.  I hope you have all marked your calendars and are planning to attend the spring convention to be held April 26-28 in Roanoke, VA.  I have attached a brief message from Judy Barger Edgell and the Thursday Morning Music Club, who will be hosting the convention.  Keep your eye out for the Official Call (Invitation) which will be coming out within the next few weeks.

Reports.  I would like all active VFMC members (Senior Club Presidents, Chairs, Officers - anyone with a contributing role in this organization)  to bring reports to the convention.   If you aren’t planning to be there, please see that I get a copy in advance.  Even better yet, send someone from your club to represent you.

Proposals and Issues for Convention.  I will be sending out a form for you in the next few weeks on which I ask that you complete and submit by the due date requested if you have any proposals or issues that you would like addressed at the convention. That way we will have plenty of time to make our meeting agendas so that our meetings will run smoothly and we will use our time efficiently.  Please be sure your proposals are complete and ready to go (no handwritten notes!).  Note the due date on the form.  Any proposals or issues that come in after that may have to wait until the fall board meeting to be addressed.

Club Reports.

  • Senior Club Presidents, please refer to the Due Date Calendar included in your folder and get started on any reports you plan to submit about your club’s activities.

  • Senior Club Presidents, please make special note about completing the Senior Club Annual Summary Report for the 2017-18 Club Year Activities and Events. I am especially interested in finding out what your club has been doing this past year. I will be using this report to prepare my report about the VFMC for the National Convention (NFMC) that takes place in Milwaukee (June 19- 23). That report is due on or before June 1, and I will need time to prepare my report adequately.

  • VFMC Chairs, when you have received the club reports for your area and have compiled them to make your report please send me a copy. Please include any discussion about certificates as well.

  • Be sure to make copies of all reports for your records. You will want to draw from this information to write your convention reports.

NFMC Website.  You do not need a user name or password for the NFMC website.  When you have located the report form you want simply click on “Download PDF” and the form will appear ready to print.  All forms are free to download.  Please ignore the column about cost.

A suggestion from the President:  Take a few minutes every day or a few times a week to go to the VFMC website.  It is a tremendous asset, filled with information, and easy to navigate.  Familiarize yourself with it and get in the habit of visiting it regularly so that it will become your "go to place” for information about the VFMC.

I want to thank each and every one of you that have helped out this past year in some way or other.  I look forward to seeing you all at the spring convention.  I want to thank District I and especially the Thursday Morning Music Club for all the hard work they are doing in preparing for this event.
